Qualifications

  • Strong administrative skills

  • Well presented
  • Telephone etiquette
  • Strong receptionist and switchboard experience
 

Job Description
The Receptionist is responsible for providing clerical and administrative support in order to facilitate the smooth running of the Sage West Africa Office, reporting to the Office Administrator Sage West Africa Office.

  • Opening and closing of the office
  • Switchboard and Reception duties including editing of all data on system – e.g. adding new employee
  • Answer all incoming calls and handle caller’s inquiries whenever possible
  • Greet, assist and/or direct visitors
  • Assist in the planning and preparation of meetings, conferences, training etc
  • Liaising with Business Partners for training , meetings etc
  • Maintain an adequate inventory of office supplies and assist with monitoring the use of supplies & equipment
  • Respond to public inquiries
  • Assist to coordinate the repair & maintenance of office equipment
  • Supervising the cleaning staff
  • Assist other staff as requested
  • Assisting with filing from various departments
  • Couriering of documents and parcels
  • Meeting & Training Room bookings
  • Updating internal telephone extension lists
  • Assisting with training reception
  • Stationery order and control for the branch
  • Keeping the reception area tidy
  • Receive, direct and relay telephone messages and fax messages
  • Open & Date stamp all general correspondence
  • Perform other related duties as required
