IVTEC is scheduled to commence operations in the last quarter of 2017 with the first set of instructional programs in Automotive, Building/Construction, Welding, Electrical, and HVAC trades.
About the Role
  • The Administrative Assistant will be responsible for overall secretarial, clerical and administrative support in order to ensure services tire provided in an effective and efficient manner of the office.
Key Performance Areas:
  • Provide office support services in order to ensure efficiency and effectiveness within the office.
  • Provide administrative support to the college.
  • Assist in the planning and preparation of meetings, conferences and conference telephone calls
  • Adapt and update administrative, processes, supporting the implementation of operating procedure, in order to contribute to the continuous Improvement in administration services in area of responsibility.
  • Support the production of various data and compile and prepare reports, in order to contribute to provision of accurate information for informative decision making.
  • Provide guidance and training to staff in interpretation of administrative procedure, policies, processes and use of corporate systems to ensure consistency and efficiency of services.
  • Recommend management action to improve standard operating procedure.
  • Other duties as assigned.
Requirements, Education & Certification
  • B.Sc in Business Admin., Finance or related field.

About the Role
  • The role of the Human Resources Management Officer encompasses sub-functional specialties such as recruitment and placement, administration of entitlements, human resources planning, and staff development and career support.
Key Performance Areas:
  • Review recommendation on the selection of candidate on a case by case basis.
  • Serves as ex-officio in appointment and promotion bodies, examination boards, and presents cases to these bodies.
  • Monitor and evaluate recruitment and placement related activities, and recommends changes or corrections related to procedures to these offices
  • Identifies upcoming vacancies coordinates and monitors the recruitment process as well as temporary vacancy announcements.
  • Facilitate job evaluation processes, providing documentation and background material.
  • Provides advise to general queries on classification.
  • Identify and analyze staff development and career support needs and designs programmes to meet identified needs.
  • Prepare monitoring reports on staff development and career support programmes.
  • Designs and manage sabbatical/external assistance schemes.
  • Provide advice on mobility and career development to staff, particularly young professionals and staff in the General Service and related categories.
  • Train and provide supervision to new and lower-level HR staff in the unit.
  • Supervise and monitor the work of the Human Resources Assistants in carrying out all human resources administrative transactions including preparation of personnel actions, maintenance of staffing tables, and processing of contracts.
  • Design, plan, monitor and provide induction orientation programme and briefing to new staff members,
  • Provide performance management advice to staff and management and assist supervisors end staff with understanding and using the performance appraisal system.
  • Assess training needs, identify, design and deliver training programmes to staff at all levels throughout the Organization.
  • Keep abreast of developments in various areas of human resources; interprets the staff rules and regulations, related policies and procedures; and provides advice and support to managers and staff on human resources related matters.
  • Administer and provide advice on salary and related benefits, travel, and social security entitlements.
  • Determine and recommend benefits and entitlements for staff on the basis of contractual status.

  • Designing, developing, and maintaining spreadsheets and databases for compiling Information, then producing reports and analyses from spreadsheets and databases for top level management.

Requirements, Education & Certification
  • B.Sc / M.Sc in Business Administration Management, Human Resources Management or Psychology
  • Years in Career: minimum of 6 years.
Required Skills:
  • Fluency in written and spoken English required;
  • Proficient in Microsoft Suite (Word, Access, Excel, PowerPoint);
  • Very high level of professional and managerial competence in directing and controlling activities;
  • Ability to communicate and interact with the College’s workforce;
  • Experience in using a system such as the Integrated Management Information System (IMIS) is desirable.
  • Knowledge of Human Resources Management Scorecard and developments being made on Talent Management Tools is an advantage,

About the Role
  • The facility manager will be responsible for Improving performance, productivity, efficiency and profitability trough the implementation of effective methods and strategies.
Key Performance Areas:
  • Ensuring full operation and maintenance of college buildings, furniture equipment, power station, utilities and all college assets.
  • Work with all heads of department, informing them of any event that may happen occur in the College as regards individual sections.
  • Oversee the daily maintenance of the College environment for the well being of staff and students.
  • Improve operational systems, processes and best practices that guarantee well-being of the College, purchase materials, plan inventory and ensure warehouse efficiency.
  • Carry out other relevant duties as may be required by the Director of operations and Head of Departments.
  • Ensure preventive and corrective maintenance of all College vehicles and machines.
  • Ensure continuous quality improvement, safety and adherence to operations procedure and program
  • Train, coordinate, supervise and appraise operations staff.

  • The Finance Manager plays a central role in assuring that the IVTEC meets its fiduciary responsibility to donors, government officials, employees, students and the general public.
  • The Finance Manager evaluates the adequacy and quality of financial reporting to ensure reports submitted meets international financial reporting standards
  • The Finance Manager has responsibility for establishing and monitoring a sound business environment so that various funding sources (such as government agencies, donors and students) can confidently provide resources in support of the IVTEC’s academic mission.
  • To ensure this sound business environment, the Finance Manager develops and monitors IVTEC policies related to internal control, financial and accounting requirements, procurement, sponsored project financial administration, indirect costs, service Colleges, facilities management, administrative system use and human resources.

  • Receives visitors and telephone calls responds to inquiries front employees,
