DRC has been operating in the West Africa region for over 15 years, running a combination of emergency, livelihood, protection and advocacy programmes through Country Offices (COs) Guinea, Liberia, Ivory Coast, Mali, Burkina Faso, Niger, Nigeria and a Regional Office (RO) in Abidjan. DRC has 17 offices and more than 500 staff members across the WA region.

We are recruiting to fill the position below:

Job Title: Supply Chain Officer – Logistics
Location:
 Damaturu

The Position

  • The Supply Chain Officer – Logistics will report directly to the Logistics Team Lead. She/he must be able to manage a local emergency stockpile and goods consolidation point in order to permit the rapid movement of DRC/DDG humanitarian supplies. Design and implement warehouse management and commodity tracking system.

Main Duties and Responsibilities
The main duties and responsibilities will include but not limited to:

Logistics:

  • Participate in field-level program planning formulation and advice on logistics considerations.
  • Provide technical and operational support to the field office, as well as advice on application of logistics management best practice, systems and procedures.
  • Implement and manage contracts in forwarding, transport and warehousing, where necessary.
  • Implement standard DRC logistics systems and procedures as applicable in the Operations Handbook
  • Maintain the Asset management of all assets in Damaturu jurisdiction

Staff movement Oversight and Support:

  • Travel Security Clearances: Prior to any movement complete all security briefings for staff traveling to high risk field locations. Ensure that established movement tracking protocols are adhered to by both the Safety Unit and all DRC staff.
  • Field movement tracking: Coordinate with logistics staff when directed to support Field levelmovement oversight and support.
  • Maintain car folders: Maintain car folders and all DRC vehicles and support logistics staff in maintaining the car folders.
  • Driver orientation: Responsible to orient drivers on current context and road conditions. Train drivers on regulations and road safety

Administrative and Operational Support:

  • Asset management: Maintain Damaturu asset register and oversight on all assets that are both utilized and stored.Coordinate with the DRC Logistics and Procurement department to ensure that the overall DRC asset register reflects in the Damaturu current asset register.
  • DRC facility management in Yobe State under close supervision of the Logistics Team Lead.
  • Weekly and Monthly report: Responsible for compiling Damaturu weekly and monthly report for Logistics Unit.

To be successful in this role, the candidate is expected to be honest, strongly motivated and display a high standard of integrity in humanitarian work, disciplined and team-oriented.

Qualifications
Essentials:

  • 2-3 years of progressively responsible professional work experience at national level in logistics.
  • Varied supply/logistics functional background ranging from Inventory and warehousing to transport management and distribution to beneficiaries an asset as well as ,
  • Knowledge & experience of dealing with commercial transporters and coordinating supply delivery to remote and insecure areas
  • Excellent computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
  • Sound judgment and the ability to work effectively with others at all levels
  • Strong assessment, evaluation, analysis and strategic planning skills
  • IT literate, MS – Word, Excel and PowerPoint
  • Interpersonal communication and proven written / presentation skills
  • Demonstrated ability to manage under stressful conditions

Desirables:

  • Flexible & willing to work in a remote setting & to travel to other field locations.
  • Ability to multitask and work comfortably under pressure
  • Experience from working in an (I)NGO
  • Knowledge in Hausa
  • Bachelor’s Degree or any equivalents, Higher Diploma, NCE in any field related to humanitarian work.
  • Competent and literate in English, verbal and written, with a sound knowledge of technical expressions, any local speaking language will be an advantage

Job Title: Human Resources & Admin Assistant
Location:
 Damaturu
The Position

  • Supports HR Admin Officer in the preparation of HR tasks and maintenance of staff information. Works within the HR administration procedures of DRC, municipal policies and procedures and in compliance with all national acts and legislation. The HR Admin Assistant supports the HR Admin Officer with reports for senior management in country.

Key Roles

  • Drafting Casual Labor Contracts e.g. programme staff/location. (approved by Area Manager)
  • Assist in updating personal staff files
  • Follow up that signed time sheets are sent to HR before deadline.
  • Ensure to add new staff details and location on the Nigeria Staff Contact list upon request from HR Dept. CO
  • Making requisition, receiving and releasing office stationery, beverages and cleaning materials
  • Submitting weekly/monthly report on use of office material.
  • Support the HR Officer in the recruitment process
  • Ensure required documents from the recruitment are sent to HR Department Coordination Office
  • Distribute information about open vacancies to all staff and announce on local notice board in a timely manner.
  • Updating Guest Accommodation space and sharing
  • Responsible to coordinate all the Guest House request with logistics
  • Takes lead to review Guest House Utensils and makes requisition
  • Monthly meeting and bi-weekly inspection of Guest House and sending report to HR Team Leader
  • Collaborate with HR Admin Officer in organizing Seminars, meetings and other events at location.
  • Coordinate accommodation in Guest House and/or hotel.
  • Assist in enquiries from delegates.
  • Assist with taking minutes of the events if required.

Key Requirements
Education:

  • University degree in Human Resources/Administration, Business Administration and other related discipline

Essential:

  • At least 1 year work experience in field of Human Resources and Administration in an NGO/Commercial sector.

Desirables:

  • Hands-on experience/skills in MS Office applications (Excellent computer skill)
  • Ability to work under pressure to deadlines and stress.
  • Ability to work independently on his or her own initiative with problems solving skills
  • Strong team and interpersonal skills
  • Fluency in written and spoken English.

Job Title: Human Resources & Admin Officer

The Position

  • The HR Admin officer will conduct all HR tasks and maintenance of staff information.  He/She will work within the HR administration procedures of DRC, municipal policies and procedures and ensure compliance with all national acts and legislation.

Your Main Duties and Responsibilities will be:

  • Coordinate with Team Leader on Annual Leave, sick Leave forms, review for correctness (for approval, availability of leave), update the data base for leave and file in staff personal files
  • Ensure all staff taxes and legislative obligations are done on time as per the government deadlines. (Constant contact with department of labor).
  • Ensure all administrative matters are properly followed up and legally standing according to the Nigerian legal systems/requirements Keep track, record and properly manage the issue and letters which DRC gets from governmental departments.
  • To ensure staff requiring Visas and other legal documents are organized in timely manner. Filing of all project related documents and development of a transparent and efficient filing system of all administration records as per DRC filing procedures
  • Follow up with Line supervisors and ensure the Performance (Probation) objectives are set and filed within two weeks of the appointment date.
  • Ensure all staff are given the contracts (along with the required attachment) & DRC ID cards on the first working day and staff information data is filled and filed. Follow up with the staff and obtain file one copy of staff contract along with the attachment in personal file.
  • Ensure all staff personal files are updated according to the checklist/DRC procedures on constant basis.
  • Ensure all staff complete the Induction (as per the DRC induction checklist) before sent to work.
  • Prepare the monthly Payroll Leave Schedule for national staff.
  • Ensure that all recruitments are done in accordance with DRC recruitment processes.
  • Organize training on CoC for staff. Brief on other HR policies/procedures to staff when it is necessary.
  • Review HR related documents before the Head of Base and CD approves.
  • Follow up with Line supervisors and ensure the Performance (Probation) objectives are set and filed within two weeks of the appointment date.
  • Ensure the reminders on staff performance (Probation) evaluations are sent to the line managers and final evaluations are filed before the deadline of Probation evaluation.
  • Facilitate regular staff communication, through arranging regular staff (preferably weekly) meetings and ensuring relevant information is being passed on to the field offices.
  • Focal point for HR Administration in the office
  • Serve as technical resource person for the HR department.
  • Report to the HR Team Leader any irregularities that occur within the DRC office, staff compound and sites on DRC policy and procedures.
  • Other responsibilities as assigned by supervisor.
