Job Title: Community Engagement Associate

Location: Maiduguri, Borno
Job Type: Full time

Job Summary

  • We are looking for a Community Engagement Associate to ensure commitment and involvement of local authorities and community members in the Program; and support the development and empowerment of community protection committees and ensure their participation, sustainability of their actions, as well as ensuring that the voices of community members, including women and children are heard.
  • The Community engagement associate’s roles will include training, facilitation of meetings between security forces and communities as well as implementation of activities that will specifically target Women and people living with disability.
  • They will be responsible for program reporting, monitoring and documentation at community level.

Scope of Work/Primary Responsibilities

  • The Community Engagement Associate be responsible for the day to day support, supervision and mentoring to the protection committees in the various communities.
  • The community engagement associate will be responsible for community level advocacy to key stakeholders, Civil-Military relations meetings, reporting and monitoring of meetings and other activities of the protection committees.

Reporting & Supervision:

  • The community engagement associate will report and be supervised by the Senior Snr. Project Officer and have dotted lines to the Manager, Community Engagement.

Deliverables:

  • Develop a community mobilisation strategy in collaboration with the team and ensure implementation
  • Train and mentor Local consultants – Community support
  • In collaboration with the rest of the programme team prepare and facilitate trainings
  • Participate in the preparation or review of programme monitoring and evaluation tools where necessary
  • Ensure correct use of programme monitoring and evaluation (recording) tools, including analysis
  • Develop good knowledge of local and national government structures, parliamentary and political processes and key decision making structures and how to influence them.
  • Identify policy and practice change, on the basis of CIVIC’s experience, that would promote and protect civilians and mitigate harm to them in conflict.
  • Support in formulating key advocacy messages and targets from lessons learned, assessments, research and evidence gained through project implementation on civilian protection.
  • Actively participate in relevant community level and CSO Coalition driven activities in the target field locations
  • Engage with the state and local governments in policies review when needed
  • Prepare monthly reports of activities carried out
  • Responsible for ensuring relevan reporting and filling of results journal.
  • Support new LGA assessments and lead entry engagements

Requirements

  • Qualification: Minimum of B.Sc, or HND

Job Title: Training Associate

Job Summary

  • We are looking for a full time Training Associate to support our training efforts in Borno northeast Nigeria in areas such as Training of community self-protection committees across LGAs and support training on the protection of civilians in conflict for relevant security forces, members of community vigilante, civilian joint task force and hunter groups.

Scope of Work/Primary Responsibilities

  • The Training Associate is to be based in Maiduguri. He/ She will be responsible for training on protection of civilians to security forces, community members, civilian joint task force, vigilante and hunter groups in the various LGAs based on CIVIC’s training modules

Reporting & Supervision:

  • The training Associate will report to and be supervised by the Project Manager and will report technically to Snr. Training Advisor.

Deliverables:

  • Review and update relevant training modules
  • Lead and facilitate training sessions in identified LGAs for key actors
  • Compile reports, participants attendance, evaluation for pre and post training questionnaires for each activity
  • Attend and report on meetings for CBOs, NGOs and INGOs in the LGA with a bias for meetings with protection related discussions
  • Attend and sometimes facilitate meetings between community protection committee and security forces
  • Develop relevant reports from training delivery and outcomes for internal reports and donor reporting.

Requirements
Required Skills & Qualifications:

  • Minimum B.Sc in relevant field is essential with 3 to 7 years of experience in training
  • Computer literacy in MS Word is required.
  • Work experience with an internationally-funded project and/or government organization is highly desirable.
  • Great Interpersonal, verbal and written communication skills.

  • We are looking for a Project Manager for a DFID funded project in Borno. Northeast Nigeria. The Project Manager will be responsible for ensuring the project deliverables are in line with the donor requirements and to provide relevant project management support towards ensuring that deliverables are on track. The candidate will support the engagement with relevant security forces.
  • The candidate provides key support to several functions within the team including, but not limited to Communications (Comms), Grants, Team management, supporting the NE Team Lead as a senior member of the team , as well as programmatic and general leadership support tasks.
  • The Project Manager, apart from facilitating effective communication and coordination about the project within CIVIC Nigeria, may also be required to take on leadership in training facilitation on protection of civilians and civilian harm mitigation.

Deliverables
Administrative Directives:

  • Ensure appropriate administrative and electronic filing systems within the Project are developed and maintained to allow an efficient and largely self-servicing administrative environment to support functioning of the team
  • Ensure that key documents are easily accessible and archived on as well as its management Dropbox

Communication Support:

  • Lead information and communication flows from the Project to the wider CIVIC Nigeria Program and a variety of internal and external stakeholders. Ensuring effective linkages with all team members and other stakeholders for enhanced capacity and needs and resources identification.
  • Ensure timely, accurate, consistent and compatible data and information on the program situation and needs is provided, for operational analysis and decision making. This includes data and information collection, collation, analysis and dissemination through materials such as briefing documents and factsheets.
  • Lead the production of regular Weekly and monthly Reports and disseminate to country backstop
  • Produce monthly project updates and latest news stories relating the project for the monthly reports
  • When required support deployed Consultants and TAs to go about their work.
  • Responsible for responding to ad-hoc internal and external requests for information about the project and communications materials
  • As directed by Line Manager, proactively gather information and attend meetings with/from other sources such as clusters, NGOs regional networks and government which may provide a more comprehensive regional picture.
  • Take the lead in facilitating the collection of case and success stories from beneficiaries as appropriate.

Human resources (HR) support:

  • Manage the induction process and relevant reading materials for all new starters, and ensuring they are aware of organizational policies, procedures and relevant legislation.

Program Support:

  • Ensuring coordination and information sharing between technical and operation teams (finance, logistics)
  • Engaging with relevant interlocutors, including actors in the security forces
  • Participate in reviews, audits and ensure findings are documented and action plans /recommendations are shared with relevant persons within CIVIC.
  • Coordinate the preparation of timely Program and donor reports on project activities in compliance with internal CIVIC requirements and any relevant external donor requirements.
  • Work closely with the Monitoring & Evaluation team to ensure technical advisory leads have the required tools to put in place sectoral M & E plans
  • Maintain and update the funding and budget tracker
  • Ensure all monthly reports and briefing notes to donors and HQ are reviewed and approved by the Humanitarian Manager as appropriate
  • Act as focal point for all queries and additional information requests from donors or CIVIC partners
  • Support program staff and re-inforce their capacity in order to document the case studies and centralize them for follow up in collaboration with the communications and advocacy teams.
  • Maintaining movement plans for all Humanitarian staff
  • Follow up on the trackers for all departments for Humanitarian Program eg. HR planner, Procurement tracker.
  • Follow up on minutes from the different clusters/stakeholders and meetings with partners and donors.

Grant/Award Support:

  • Tracking grants when required
  • Creation of a good award file system (electronic and hard copies)
  • Maintain an updated Program equipment, tools and accessories in liaison with Logistic and Admin including those of Program partners supported by CIVIC.
  • Planning and programming work to be done quarterly in reference to the workplans
  • Aware and upholding the donor rules and regulation/compliance issues

Requirements
Required Skills & Qualifications:

  • Minimum of first degree or HND in relevant discipline and a postgraduate degree or PhD will be an added advantage
  • Significant prior NGO experience 4 – 12 years within a complex /large scale country Program and possibly in emergency response or humanitarian environments
  • Must have completed NYSC
  • Armed Forces and security experience will be an advantage.
  • Training module development and facilitation experience.

  • We are looking for an Associate, Finance and Field Operations for a donor funded project in Borno. Northeast Nigeria. The Associate will be responsible for supporting our day-to-day transactions, including expenses and payroll, including processing payments, maintaining cost reports and managing invoices. The candidate is expected to be a part of the procurement team to strengthen controls in accordance with CIVIC and donor procedures.
  • The post-holder provides key support to several functions within the team including, but not limited to project financial management, Grants, aiding the Project Manager on programmatic and general administrative tasks.

Scope Of Work/Primary Responsibilities
Reporting & Supervision:

  • The position will report to the Project Manager.

Deliverables:

  • Prepares monthly statements by collecting data; analyzing and investigating variances; summarizing data, information, and trends.
  • Support the coordination of relevant project BvA processes.
  • Prepares state quarterly and annual statements by assembling data.
  • Complies with state and federal tax filing requirements by studying regulations; adhering to requirements; advising management on required actions; calculating quarterly estimated tax payments; assembling data for quarterly and annual tax filings.
