Job Title: Protocol Assistant (Generic)

Role Overview

  • Under the supervision of the Logistics & Reception Officer, the incumbent will provide day-to-day administrative and protocol support services, ensuring the smooth delivery of services whilst providing needed support to the Principal Protocol Officer

Role and Responsibilities

  • Undertake protocol duties relating to all meeting and event logistics, immunities and privileges, consular services and other related areas as assigned, for the Commission, its staff and guests;
  • Receive, review and screen all incoming protocol correspondence and documents and perform preliminary checks for accuracy and completeness;
  • Provide support for all diplomatic accreditations to the Commission and the Community;
  • Provide all necessary physical and administrative support for implementation of Headquarters Agreement;
  • Provide necessary support for all airport and travel services, including reception, dispatch, luggage, consular, etc;

Academic Qualifications and Experience

  • Brevet de Technicien Superieur (BTS) / Ordinary National Diploma (OND), Bachelors in Social Sciences and Humanities, Social Sciences, Diplomacy and Etiquette, Logistics Management, Shipping, Clearance and Forwarding, Project Management, Public Administration or other related field.
  • High Proficiency in MS Office Suite,
  • 5 years’ experience in  the specific area of protocol relevant to job function, preferable in an International Organisation or in a multi-lateral setting, and/or experience in international travel arrangements, procedures and processes;
  • Knowledge of travel related processing requirements and logistics, visa applications and processes, ticketing and reservations
  • Knowledge of ECOWAS conference policies, procedures and practices, accepted norms, rules and customs of international diplomatic protocol, including practices developed within the ECOWAS System.
  • Knowledge of planning and implementation of  administrative and logistical arrangements for meetings, conferences, and workshops within and outside base station;

Education:

Role Overview

  • Under the supervision of the PO Logistics & Maintenance, the position provides support to Fleet Management & Transport with everyday operations in making sure of the smooth running of the Commission’s fleet of vehicles.

Role and Responsibilities

  • Perform the daily preventive maintenance checks before moving a particular vehicle for the first time in the day;
  • Monitor consumption of fuel and lubricants by vehicles to ensure their efficient use;
  • Initiate timely requests for fuel replenishments;
  • Maintain accurate record of fuel / lubricant usage for planning and audit purposes;
  • Ensure accurate completion of vehicle log books by drivers;
  • Carry out any other duties that may be assigned.
  • Take / Receive officials and guests to and from the airport or other authorised  locations;
  • Ensure security of goods and persons transported;
  • Respond immediately to accident emergencies by notifying emergency response providers;

Academic Qualifications and Experience

  • West African School Certificate or equivalent certificate with a formal driver training certificate and a valid driver’s license / certification to operate assigned vehicle;
  • 2 years of experience as a driver, preferably for an international organization involving a variety of makes and models of vehicles;
  • Working knowledge of traffic rules and regulations, and ability to read and interpret traffic signs and documents such as safety rules, and operating and maintenance instructions;
  • Maintain a log book;
  • Knowledge of defensive driving practices, chauffeur protocol and courtesies, local roads and conditions, and protocols of relevance to safety and security of passengers during inclement weather, terrorism events, motor accidents, criminal and violent incidents;

Role Overview

  • Knowledge of maintenance of assigned systems and development of innovative approaches to resolve a wide range of issues/problem;
  • Microsoft Certified System Engineer certification (MCSE) and Cisco Certified Network Professional (CCNP) certification is desirable;
  • Proven and documented IT knowledge including knowledge of the latest IT techniques, advancements, trends, best practices and solutions including applications, analytics, governance, systems and business process integration;
  • Analytical skills for solving complex problems through using technology, governance, management and leadership methods to meet customer objectives and expectations;
  • Working experience in delivering IT projects or IT solution development;
  • Strong facilitation, consultation and convening skills and experience. Training experience is a plus.
