In its first five years (2009 to 2014), A&T demonstrated that innovative approaches to improving feeding practices could be delivered with impact and at scale in Bangladesh, Ethiopia, and Viet Nam. Alive & Thrive continues its work there and is supporting others to scale up nutrition by applying and adapting tested, proven approaches and tools in Burkina Faso, India, Southeast Asia, and Nigeria. Alive & Thrive is funded by the Bill & Melinda Gates Foundation and the governments of Canada and Ireland.

We are currently seeking qualified candidates for the position below:

Job Title: Finance and Administrative Associate

Job Summary / Responsibilities
Basic Function:

  • The Finance and Administrative Associate is responsible for providing finance, operations, administrative, and logistical support to the project.
  • S/he will work closely with the Alive & Thrive (A&T) Finance and Operations Manager to ensure smooth operations of A&T/Nigeria office in compliance with policies and regulations.
  • S/he will provide logistical support for all project activities, as necessary, including organizing workshops, coordinating travel, and maintaining office property.

Duties and Responsibilities

  • Prepare monthly financial report forms which accompany imprest and executed sub project documents.
  • Maintain and manage petty cash and report to Finance and Operations Manager at the end of the month with accounts distribution for replenishment; prepare petty cash vouchers and disbursements vouchers
  • Prepare on a monthly basis, physical inventory of both expendable and non-expendable property, and forward a copy to for HQ.
  • Assist Finance and Operations Manager to purchase travel tickets, book hotel rooms, and organize airport pickup and drop off for staff, counterparts and consultants by coordinating with the Travel Department and others as required.
  • Assist Contracts and Procurements Manager with procurement logistics such as collection of quotes, sending out RFPs, assembling procurement package, and tracking deliverables and payments.
  • Organize business meetings and workshops as necessary, including engaging speakers, making room arrangements, arranging refreshments, sending invitations, collecting meeting materials, and taking minutes as directed.
  • Maintain filing system for all financial and other files as assigned.
  • Manage the office supplies procurement including monitoring and replenishing to ensure adequate supplies at all times as well as maintaining the supplies storage
  • Under the direction of the Finance & Operations Manager, prepare requisitions for goods and services
  • Manage photocopying, printing, scanning, courier, DHL etc needs of the office
  • Attend and support administrative matters at workshops, seminar proceedings as the need arises
  • Performs any other duties as assigned.

Qualifications

  • University degree in Accounting, Finance or Business administration
  • Minimum of 1-3 years experience in accounting related to NGOs and community level programs, with increasing responsibility.
  • Experience with administrative and secretarial skills
  • Sound accounting skills
  • Experience with large complex organization is required, familiarity with international NGOs preferred

Job Title: Contracts and Procurement Manager

Job Summary / Responsibilities

Basic Functions:

  • The Contracts and Procurement Manager will take responsibility for developing, organizing, and tracking all procurement and contracting activities for the A&T/Nigeria program, in close collaboration with the Finance and Operations Manager.
  • S/He will also review and administer sub-awards in accordance with organizational policy and donor requirements ensuring close coordination with field office and HQ technical, financial, contract and administration staff.

Major Areas of Responsibility:

  • Manage and coordinate all local procurement and contracting, including procurement initiation and contract negotiations with local vendors and consultants, preparation of complete set of documents as stated in the FHI Solutions policy for purchase orders, consultant work orders, subcontracts, sub-agreements, and other procurement actions, tracking of work progress and deliverables, etc.
  • Assume primary responsibility to obtain required clearances and approvals for all procurements.
  • Update and maintain commitment tracker on a monthly basis or more frequently if/as required.
  • Provide regular reviews and updates on the status of project’s accruals and commitments under existing contracts to A&T Nigeria Project Director and HQ.
  • Work closely with the program, technical, and operations team to ensure timely initiation of procurements. Provide support and guidance to program and technical staff throughout the procurement process.
  • Serve as main liaison with the headquarters office on all procurement matters.
  • Collaborate with other members of A&T/Nigeria finance and operations team and HQ team to administer procurements, track and process invoices and payments.
  • Ensure procurement files are complete and accurate and in full compliance with the policies and procedures.
  • Ensure that all contract deliverables are tracked, monitored, delivered, properly filed, and copies are sent to HQ office. Send regular reminders to the vendors and sub-contractors about outstanding/pending deliverables and follow up for submission.
  • Work closely with the Project Director, Finance and Operations Manager, and project headquarters staff with regard to budgeting and fiscal monitoring.
  • Ensure compliance with FHI Solutions regulations in all contractual and procurement activities.
  • Assist Project Director and program staff as applicable to prepare advance lists of procurement and technical activities for planning efficient and timely inputs to support work plan activities.
  • Keep the Project Director updated on latest rules and regulations regarding country operations and support him/her to carry out activities accordingly.
  • Perform other duties as necessary

Qualifications

  • Degree in Business Management, Accounting, Finance, or other relevant field in international development
  • At least 3-5 years of experience managing complex procurement activities
  • Computer skills, including Microsoft Word and Excel
  • Excellent organizational and written and oral communication skills  
  • Fluency in written and spoken English
  • Ability to work with minimum supervision
  • Proven ability to pre-plan critical actions, carry out actions in an efficient and timely manner
  • Track record of being a team player, ability to deal with multiple tasks, flexibility and getting critical tasks completed on time.

Job Title: Driver

Job Summary / Responsibilities
Basic function:

  • Under the direction of the Finance & Operations Manager, the driver shall provide a variety of transportation support to the project.

Duties and Responsibilities

  • Convey FHI Nigeria Staff and Consultants to designated approved locations.
  • Ensure adequate safety, cleanliness, security and maintenance of the project vehicle assigned.
  • Ensure proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc.
  • Ensure availability of all the required documents/supplies including vehicle insurance, vehicle logs, office directory, and necessary spare parts.
  • Plan route and requirements by studying schedule or ad-hoc request by the office.
  • Ensure passengers adhere to all road safety regulations.
  • Fulfill special request by picking up and delivering items as directed and running errands
  • Performs any other duties as assigned.

Qualifications

  • Secondary School Leaving Certificates, Apprentice Certificate or any other equivalent Certificates with a minimum of 1 year experience.
  • Must have a trade test certificate and a valid driving license.
  • Must have expert knowledge of driving rules and regulations.
  • Experience as a driver mechanic will be an added advantage.
  • Experience with large complex organization preferred
  • Strong familiarity with Abuja, based location and surrounding areas.
  • A clean driver’s license, Class E; additional safe driving courses preferred.
  • Proven track record of safe driving.
  • Excellent organizational and communications skill
  • Ability to take and execute instructions accurately.
