Job Title: Receptionist VCG A (2) 
Location:  Abuja 
Summary of Role 

  • Ensure that front desk, secretarial and clerical services for VSF are adequate and sufficient to meet organizational needs. 
  • The position will provide efficient and effective administrative, logistics and other related support to ensure adequate delivery of corporate objectives

Duties and Responsibilities 

  • Attend to visitors
  • Prepare monthly visitors report
  • Answer public enquiries
  • Maintain appointment diary
  • Receive and deliver mails
  • Prepare payment request and vouchers’ for the office to facilitate cash expenditure
  • Photocopy and scan documents
  • Receive, direct and relay telephone messages and fax messages
  • Open and date stamp all general correspondence
  • Assist in the planning and preparation of meetings, conferences and conference telephone calls
  • Respond to public inquiries
  • Provide word –processing and secretarial support
  • Perform other related duties as required

Position Specifications 
Education 

  • Ordinary National Diploma (OND) or equivalent in relevant areas of study.

Certification and Training 

  • Certification or previous training in reception related activities, secretarial duties, personal effectiveness, or as personal assistant would be an added advantage.

  • At least 2 years’ experience in similar role in a comparable organization to VSF

Job Title: Expediter VCG A (2) 
Locations: Borno State, Adamawa State 
Summary of Role 

  • Provide logistics and required support for the Foundation. Ensure timely, efficient and effective travel times of staff and drop off of documents.

Duties and Responsibilities 

  • Ensure that the Foundation’s vehicle is in good condition
  • Deliver mail on behalf of the foundation
  • Pick up and drop off staff and guests of the Foundation
  • Convey staff and others on site visits
  • Ensure foundation’s vehicle are clean every morning
  • Provide logistic and admin support
  • Run errands
  • Other assigned tasks by Management

Position Specifications 
Education 

  • Must have at least Senior Secondary Certificate of Education with at least 3 credits. 
  • Higher qualifications would be added advantage.

Certification and Training 

  • Valid Driving License for type of vehicle engaged to drive. 
  • Additional training in defensive driving skills e.t.c. would be desirable.

Experience 

  • At least 5 years’ experience in similar role in a comparable organization to VSF. 
  • Must be experienced in working with Senior Management.

Job Title: Head Human Resources and Finance VCG B (4)
Location: Abuja 
Summary of Role 

  • Under the Supervision of the Executive Director, The Head Human Resources and Finance would be responsible for the financial, administrative and human resource management guidelines developed for the Foundation and would ensure adherence to policies, processes and procedures across VSF, whilst collaborating closely with the Executive Director and Management of the Foundation to ensure procedures are understood and embedded into the control function of the organization.

Duties and Responsibilities
Human Resource Management and Administration 

  • Maintain adequate staff level through appropriate recruitment and selection sub-system
  • Manage employee performance and maintain appropriate level of corporate performance to assure organizational success
  • Manage VSF’s logistics related activities – procurement, inventory and scraps
  • Oversee discipline and employee relations

Budgets and Financial Planning 

  • Managing budgets and other controls, including Annual budget for Client approval;
  • Ensuring that financial commitments are in alignment with approved budget;
  • Highlighting areas of budget variance for Management review;
  • Managing financial planning and cash management.
  • External Finance-Related Activities
  • Liaising with External Auditors for Financial Year-end audit;
  • Managing relationships with the banks to ensure quality services are provided;
  • Liaising with Tax authorities.

Accounts and Financial Reports 

  • Maintaining financial data, records and information for financial reporting;
  • Preparation of monthly Management Accounts and other reports required by Management;
  • Preparation of Annual statutory accounts;
  • Managing internal control procedures and compliance with financial operational procedures;
  • Supervising account payables to ensure that purchasing and payment procedures are complied with;

Position Specifications 
Education 

  • HND/ First degree in Accounting, Business Administration, Financial Management, Banking and Finance or related studies. 
  • Possession of a Masters degree, in relevant areas, is required for this role.

Certification and Training 

  • Must be a Chartered Accountant and, registered professional with the Financial Reporting Council of Nigeria. 
  • Must have had previous training in International Financial Reporting Standards (IFRS). 
  • Membership of the Chartered Institute of Personnel Management of Nigeria and/or Nigerian Institute of Management is essential for this role.

Experience 

  • At least 15 years’ experience in similar role in a comparable organization to VSF. With progressive levels of responsibility.

Others 

  • Familiarity with, and ability to present, IFRS – Based financial reports is critical. 
  • Must have had hands-on experience in relation to managing people, either as direct reports or responsible for managing an organisation’s human resource function.





Job Title: Programme Officer State Office VCG B (2) 
Location: Borno 
Summary of Role 

  • Provide oversight, coordination, monitoring and reporting of all VSF’s programmes in assigned State, ensuring that targets are achieved within defined timelines and as outlined in the work plan. 
  • The position will manage portfolio of projects for assigned State, and actively participate in furthering the mission and goals of VSF.

Duties and Responsibilities

  • Serve as the principal focal point on all aspects of VSF’s programmes in the state
  • Serve as the interface between the State and VSF on all matters related to planning, programming, programme implementation, monitoring and evaluation of programmes
  • Coordinate the activities of State Office to ensure smooth and efficient programme planning and implementation of activities
  • Ensure that programme activities are implemented according to approved work plans, set deadlines, and within the budget limitations in assigned state
  • Continuously monitor, track and regularly advise the Director of Programmes and other Programme Officers on revisions to project work plans to ensure that activities are carried out as and when scheduled
  • Ensure that all required reports (Programme, M&E, Finance, Logistics, e.t.c.) are prepared and submitted within the expected time frame
  • Represent VSF in all meetings with State Officers; Development Partners and other stakeholders at the state level

Job Title: Security Officer VCG B (2) 
Location: Abuja 
Summary of Role 

  • Ensure that VSF operates with excellent security coverage without threat or damage to staff, visitors and its assets. 
  • The Security Officer would plan, coordinate and oversee the provision of adequate security coverage for VSF’s personnel, facilities and other assets in all areas of its operations.

Duties and Responsibilities 

  • Manage the development and implementation of security policy, standards, guidelines and procedures to ensure ongoing maintenance of security. Physical protection responsibilities will include asset protection, workplace violence prevention, access control systems, including employee education and awareness.
  • Oversee a network of security personnel who safeguard the VSF’s assets, and the physical safety of employees and visitors.
  • Maintain relationships with local, state and federal law enforcement and other related government agencies.
  • Oversee incident response planning as well as the investigation of security breaches, and assist with disciplinary and legal matters associated with such breaches as necessary.
  • Oversee the development of, and be the enterprise champion of, a corporate security awareness and training program.
  • Evaluate changes to the corporate environment for security impact and present findings to management.
  • Collaborate with other security stakeholders to maintain security of employees at the Abuja and State Offices

Position Specifications 
Education 

  • Degree qualified in relevant field (Management; Social Sciences e.t.c.); or any other related field in the area of Security Management.

  • Minimum of 5 years’ experience in Security related job at senior level, either in the Police or Military or Para Military environment.

Job Title: Programme Assistant Grants & Collaboration, Linkage & Partnership VCG B (1) 
Location: Abuja 
Summary of Role 

  • To support the Programmes Officer in developing, delivering and promoting the Foundation’s grants programme, as well as creating effective partnerships to further deepen activities of VSF. 
  • The position will provide technical and administrative assistance to the Programme Officer on all matters related to grants application; review; approval and disbursement as well as coordinating linkages and partnerships that VSF gets involved in.

Duties and Responsibilities 

  • Assist the Programme Officer – Grants and CLAP with the identification and interpretation of program strategies and policies
  • Support in researching and developing materials and reports required for the success of Grants and CLAP Unit
  • Proactively identify issues and problems that are likely to detract from the achievement of objectives set for the Grant and CLAP Unit as well as the smooth running of the unit’s programmes
  • Provide administrative support, as required by the project, to the Programme Officer – Grants and CLAP

Job Title: Programme Assistant Peace Building & Research VCG B (1) 
Location: Abuja 
Summary of Role 

  • To support the Programme Officer – Peace Building & Research in delivering viable peace building projects and create linkage across VSF’s programmes through rigorous research activities. 
  • The position will assist the Programme Officer – Peace Building & Research in mainstreaming peace building; conflict management and other violence ameliorating programmes into VSF’s value delivery whilst undertaking research projects and evidence-based advocacy initiatives.

Duties and Responsibilities 

  • Assist the Programme Officer – Peace Building & Research with the identification and interpretation of program strategies and policies
  • Support in researching and developing materials and reports required for the success of Peace Building & Research Unit
  • Proactively identify issues and problems that are likely to detract from the achievement of objectives set for the Peace Building & Research Unit as well as the smooth running of the unit’s programmes
  • Provide administrative support, as required by the project, to the Programme Officer – Peace Building & Research

  • Assist the Programme Officer supervise projects aimed at ensuring that victims of terrorism have access to appropriate opportunities and resources aimed at alleviating their conditions and securing their economic base on a sustainable basis.

Duties and Responsibilities 

  • Assist the Programme Officer – Livelihood & Recovery with the identification and interpretation of program strategies and policies
  • Support in researching and developing materials and reports required for the success of Livelihood & Recovery Unit

Job Title: Communications Assistant VCG B (1) 
Location: Abuja 
Summary of Role 

  • Support the Head of Communication in ensuring that VSF receives optimal coverage for its activities and positive public image. 
  • The position will provide support, advisory and technical service to the Communication Unit, and ultimately VSF, in activities relating to communication, the media, programme coverage, image and perception management.

Duties and Responsibilities 

  • Support the Head of Communication in managing VSF’s brand, image and reputation
  • Provide content and materials required to project the image, brand and perception of VSF
  • Provide detailed work plans and activities to translate VSF’s communication strategy into tactical activities and executable programmes
  • Support the Head of Communication in promoting VSF’s goals and achievements through the use of the mass media
  • Provide content and materials required to drive VSF’s message across all mass media and communication spectrum
  • Assist in editing and production of videos
  • Assist in taking an editing professional level pictures
  • Assist in developing branding initiatives, internal communications and external media relations
  • Assist the Head of Communication to manage media relations and maximize media opportunities required to position VSF positively with all stakeholders
  • Explore and harness relationships with the media to communicate VSF’s activities
  • Assist in developing messages and content for internal publications such as newsletters, releases, email announcements, planned publications, on-line, intranet, video, special projects and assignments
  • Support the Head of Communication to continuously update VSF’s Management and staff of it’s external activities
  • Collate any data, information survey related to VSF’s operations
  • Handle all transactional activities for VSF’s Library(including e-library tools)

Position Specifications 
Education 

  • Degree in mass communication, communication arts, languages, or other related qualification in the arts or social sciences. Possession of a Masters degree in relevant areas of study is required.
  • Certification and Training
  • Certification and previous training in communication, external relations e.t.c. is required. Membership of the Institute of Public Relations is mandatory. Must have knowledge and insight into IT.

Experience 

  • At least 2 years’ experience in similar role in a comparable organization to VSF. Must be conversant with online communication – especially facebook, twitter and blogging. 
  • Must be able to produce videos and be experienced in both still and video camera handling.
