British American Tobacco {BAT} has an opportunity for a senior administrative professional to join us and to provide administrative support to our regional management. This position requires you to be a team player and to work on many different types of projects, tasks, and activities. While you will have typical daily admin tasks, there will be times where you will be required to jump in to get things done.  The successful candidate will have a minimum 5 years’ administrative experience in an office environment. You will proactively support the management on the routine day-to-day needs and management of the corporate service area. The incumbent must be a highly organized individual and able to build effective relationships. WHAT YOU WILL BE ACCOUNTABLE FOR

  • Responsible for the provision and coordination of all administration support to the General Manager, including preparation and consolidation of sensitive confidential documents, presentations, reports and correspondence.
  • Coordinates and manages the calendar and appointment schedule for the General Manager, exercising discretion and judgment to the priority and urgency of such.
  • Manage travel arrangements including booking flights, hotels, cars and coordinating itineraries.
  • Prepare meeting agendas, take meeting notes as required, transcribe flip chart notes, prepare meeting minutes.
  • Code and track invoices and submit for payment in timely manner.
  • Coordinates all travel and accommodation arrangements for the General Manager and visiting senior executives.
  • Coordinates all administration related to offsite meetings and events sponsored by the General Manager.
  • Provides support to the Business Operations Lead with all Management Team meetings, including scheduling, agenda development and minute taking.
  • Creates and develops complex visual presentations through Microsoft PowerPoint.
  • Prepare and ensure timely expense report submission for General Manager and Management Team.
  • Processes account payable invoices and all aspects of expense reporting related to the General Management budget.
  • Coordinates cross-functional collaboration with the office management and administrative coordinator group to ensure a high and consistent level of office services provided across all functions.
  • Prepare and distribute internal communications (letters, posters etc.).
  • Prepare monthly/quarterly/annual and ad hoc reports.
  • Answer multiple phone lines, takes messages, and screens and redirects calls.
  • Abides by office services policies and procedures as required under the Occupational Health and Safety Act to secure an optimal and safe working environment. Acts as an active member of the Health and Safety Committee.
  • Communicate corporate events and activities using social media platforms.

 

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Minimum Diploma or Bachelor’s degree preferred.
  • Minimum 5 years of administrative experience in an office environment.
  • Minimum 5 years of managerial and administration experience in a fast-paced environment.
  • Excellent English written and verbal communications skills.
  • High proficiency with Microsoft Office Suite, specifically Word, Outlook, PowerPoint, and SharePoint.
  • Self-starter with ability to work with and take direction from multiple levels of professional staff.
  • Ability to work under pressure in a team environment with strong attention to detail and ability to work independently.
  • A can-do attitude and commitment to being an active participant of our employee-owned culture is a must.
  • Ability to be innovative and agile, work well with multiple projects, prioritize well and handle tight deadlines.
  • Excellent interpersonal skills with demonstrated tact and diplomacy in sensitive situations.
  • Requires strong attention to detail in composing and proofing materials, establishing priorities, scheduling and meeting deadlines.
  • Knowledge of internal office policies and procedures to ensure consistency and alignment amongst the organization.
  • Ability to interact and communicate effectively with individuals at all levels of the organization.
  • Strong analytical and project management skills.
  • Ability to demonstrate flexibility and enthusiasm on the job.
