Job Title: Group Head – Office Operations

Job Description

  • Provides executive support to the Directors and Shareholders of Cellulant Corporation.
  • Oversees the Global Admin Team which serves as the primary point of contact for all subsidiaries on all matters pertaining to Executive Assistance to the Senior Leadership and Office Operations (admin) across the group.
  • Global Admin’s aim is to ensure that all teams across the group enjoy a similar experience and that no country or employees feels the business has not provided what is needed for the employee to work in a productive manner.
  • Partner closely with the senior leadership team (Currently GCEO & GCGO) to develop, communicate and execute strategic projects/plans across the business.
  • Ongoing projects are the implementation of the Hybrid Work Model across the group as well as It is a role that requires an individual with an entrepreneurial spirit to execute key projects and initiatives across the business.
  • This role possesses strong leadership qualities and is a detail-oriented, organized, analytical, and strategic thinker.
  • S/he serves as the glue holding the network of disparate employees together to ensure the team continues to achieve its goals and perform mission essential duties.
  • Individual employees should utilize the Group Head of Office Operations to find counterparts working on similar issues, content owners who can contribute to products in ways not initially imagined, and to knit together the seams between processes from an admin point of view.
  • With a solid understanding of the entire organization, the Group Head of Office Operations is the person in a position to connect the dots when it comes to matters admin.

Objectives

  • Make time, information, and decision-making more effective.
  • Oversee strategic business initiatives from development through successful execution under the guidance of senior leadership and departmental heads
  • Assist and communicate with executives in decision-making, program management, and initiative implementation
  • Improve current processes and coordinate organizational procedures for optimized efficiency and productivity

Key Responsibilities

  • Executive Assistant to Directors/Shareholders
  • Serves as the Chairman’s administrative liaison to board of directors
  • Coordinating board member meetings & proactively plan ahead for future meetings
  • Maintain discretion and confidentiality on Shareholder/Board matters
  • Adhere to compliance with applicable rules and regulations set out on Governance regarding board and board committee matters Set up Global Admin Team for the business
  • Align admin policies and procedures across the group · Ensure that all Country Admin Teams operate in an efficient manner Support the Senior Leadership’s (GCEO & GCGO) key initiatives as assigned
  • Continuously improve company operating cadence (e.g., executive team meetings, leadership offsites, Quarterly Business Review, quarterly board meetings)
  • Acting as the contact person between the company’s top management and employees/stakeholders
  • Overseeing and managing highly prioritized projects
  • Regularly submitting reports to the CEO.
  • Participating in the development of financial strategies
  • Creating and interpreting various financial reports
  • Suggesting problem resolution approaches and procedures
  • Taking up other responsibilities as directed Implement the Hybrid Work Model
  • Collaborate with the teams to create a path for journey to the right office for all markets
  • Ensure employees are supported
  • Support initiatives in building a work culture that supports employee’s productivity.

Academic Requirements

  • Bachelor’s Degree  in a relevant field
  • At least a Master’s Degree in Business, Economics or other Managerial disciplines

Skills and Abilities:

  • 5 – 7 years work experience.
  • The candidate must have exceptional communication skills and the ability to multitask
  • Should be a renowned performer, manager and have solid leadership skills
  • He/she must be a skilled coach as well as supervisor
  • Must be result driven and able to motivate or inspire both junior and senior staff
  • Must be focused on quality i.e., delivering excellent services to the company and customers
  • Must be an outstanding developer of budgets (i.e., be able to come up with effective budgets within the shortest time possible and as directed)
  • One of the Staff Manager’s required skill set is the ability to work with different people and ability to remain calm under pressure
  • The holder of the office must have high analytical skills, be able to see patterns, be a fast thinker and a good decision maker
  • Should be strong willed, a fast learner and able to effect changes fast (based on customer or employee feedbacks)
  • The office holder must be proficient in basic computer modules especially using the Office suite
  • Strong presentation skills.
